Equisys Launches Zetadocs for Microsoft Dynamics GP

Microsoft Dynamics is a suite of enterprise resource planning (ERP) solutions that automate and streamline financial, customer relationship, and supply chain management and are integrated with other Microsoft applications such as Microsoft Office and Microsoft Office SharePoint Server 2007.
The Zetadocs for Microsoft Dynamics GP launch follows Equisys’ successful introduction of Zetadocs for Microsoft Dynamics NAV. Microsoft Dynamics GP is designed to help growing and midsize companies manage and integrate finances, e-commerce, supply chain, manufacturing, project accounting, field service, customer relationships, and human resources.
Zetadocs for Microsoft Dynamics GP allows Microsoft Dynamics GP users to manage documents electronically, eliminating paper from the sales order and other document-intensive financial processes by managing these tasks from beginning to end on-screen.
Here’s how it works:
First, Zetadocs for Microsoft Dynamics GP captures inbound documents (such as requests for quotations and sales orders received by email, fax and mail) and allows GP users to enter information from them into the system more efficiently. It then stores these documents so they are accessible directly from relevant sales or purchasing screens in GP, and via a web browser by authorized internal or external users.
Next, Zetadocs for Microsoft Dynamics GP distributes (by email, fax or enhanced print) quotations, order confirmations, returns, back orders, invoices and other documents that are produced as part of financial processes.
Zetadocs for Microsoft Dynamics GP links all documents that have been captured or distributed during an end-to-end process. And Zetadocs for Microsoft Dynamics GP gives users the ability to customize Dynamics reports, adding corporate messages, logos, and more.
Finally, a copy of each document delivered can be saved to Microsoft SharePoint (either Microsoft Office SharePoint Services or Office SharePoint Server 2007), removing the need to retain paper records and providing instant document retrieval by both Dynamics and non-Dynamics users, including customers and vendors.
Zetadocs for Microsoft Dynamics GP also helps streamline the process for automated notifications and approvals and provide an audit trail that ensures financial accountability and compliance with regulatory requirements for document retention.

What is Zetadocs for GP?
Zetadocs for GP is a comprehensive Document Management and Delivery solution for Microsoft Dynamics GP. It manages the capture, production, delivery, storage and retrieval of documents relating to Dynamics GP; and by doing so improves processes which streamline common business cycles.
How is Zetadocs for GP different from Zetadocs for NAV?
Zetadocs for GP provides equivalent functionality and business benefits for Microsoft Dynamics GP customersthat Zetadocs for NAV provides
for Dynamics NAV customers.
How does Zetadocs for GP work?
Like all Zetadocs products, Zetadocs for GP uses a capture-deliver-share solution that manages these tasks from beginning to end on-screen.
- It captures inbound documents (such as requests for quotations and sales orders received by email, fax and mail) and allows GP users to enter information
from them into the system more efficiently.
- It stores these inbound documents so that they are accessible directly from relevant sales or purchasing screens in GP, and via a web browser by
authorized users—colleagues, customers, vendors.
- It delivers outbound documents (by email, fax or print ) i.e. quotations, order confirmations, returns, back orders, invoices and other documents that are produced as part of financial processes.
- It stores copies of these documents that available immediately from within the GP client or via a web broswer.
- It links all documents that have been captured or distributed during an end-to-end process, enhancing productivity by allowing employees to search for and retrieve all related documents directly and securely.
What is a typical Zetadocs for GP configuration?
Zetadocs for GP is a modular solution. There are a number of software modules in a complete Zetadocs for GP system. The Microsoft Dynamics Zetadocs
for GP Connector extends the user interface of GP to provide the following functionality:
- Configure system settings for Zetadocs for GP
- Configure document delivery rules for customers and vendors
- View and link inbound documents to GP transactions records for these (requires the Extended CAL upgrade)
- Create outbound documents from GP transactions
The existing Zetadocs Client, already included in Zetadocs for NAV, now also provides document delivery for GP by:
- Finishing outbound documents (overlaying stationery, marketing messages, adding attachments, providing covering emails)
- Delivering documents to the Zetafax Server, Microsoft Outlook and printer queues
- Archiving a copy of each document to SharePoint (requires the Extended CAL upgrade)
- The existing Zetafax Server & Client (optional) sends and receives faxes
- The existing Extended CAL Upgrade, already included in Zetadocs for NAV, provides a Zetadocs SharePoint web part (for searching for documents archived by Zetadocs) and a SharePoint Template.
- The Zetadocs for GP SDK (optional) allows resellers to extend functionality within the Zetadocs GP connector .
Each Zetadocs for GP solution is configured based on a range of features according to the modules purchased.
How does Zetadocs for GP work with SharePoint?
When the Extended CAL Upgrade and the Zetadocs document management connector for Microsoft Office SharePoint are purchased, the Zetadocs Advanced Search
SharePoint web part may be installed on and used for searching for documents archived by Zetadocs. This component is shared with the Zetadocs for NAV
product. Both Windows SharePoint Services version 3 and Microsoft Office SharePoint Server 2007 are supported.
The Zetadocs Advanced Search web part may be placed on any SharePoint web page. It allows users to conduct searches of the Zetadocs document library using a
number of standard search criteria, for example to search for documents with:
- All of a number of specified words
- An exact phrase
- Any of a number of specified words
In addition, Zetadocs specific search criteria may be specified to search for documents according to:
- Document Title (the ‘Name’ column within a SharePoint Document Library)
- Date Created – as a date range
- Content Type (a pre-populated drop-down containing a list of all the Zetadocs Content Types and an ‘All Zetadocs Documents’ item)
After being placed on a web page, the web part may be customized:
- ‘Custom search fields’ may be added to it to allow users to search according to values of any column name (field) that is available within the
SharePoint site. This means that searches can include the values of custom fields added by a VAR into GP. These custom search fields may be labeled
appropriately when they are displayed in the web part.
A standard Zetadocs-branded SharePoint template is available for download from the Partner Portal. This is similar to the existing one provided for Zetadocs
for NAV, and can be used to set up a new SharePoint site to manage and provide access to documents stored by Zetadocs.
Can Zetadocs for GP be customized?
The optional Zetadocs for GP SDK (Software Development Kit) allows VARs to customize the standard functionality, including the following:
- Support additional GP reports (i.e. not included in standard configuration.).
- Add extra columns in SharePoint, and populate these with additional metadata.
Customize the embedded commands passed to Zetadocs for GP from Dynamics GP. This provides a variety of options, including:
- Attach extra documents
- Change the archive location
- Modify the delivery method
- Modify the delivery address and other details (e.g. email subject line)
Does Zetadocs for GP work with Zetafax?
The standard version of the Zetafax for Networks software is supplied on the Zetadocs for GP CD-ROM. When the Zetafax fax connector is purchased a Zetafax license code is issued that is used for the number of Client Access Licenses (CALs) purchased and has enabled both the run-time API and the email gateway.
The Zetafax fax connector can send and receive faxes, but it is not a fully featured fax server. For example, the user is not licensed to use the email
integration features of Zetafax. Although the license code issued will not prevent this feature of Zetafax working, the user should purchase a complete
version of Zetafax for Networks if it is required. Existing users of Zetafax for Networks may purchase a Zetafax API upgrade to use their copy of Zetafax with Zetadocs for GP.
What Platforms are supported by Zetadocs for GP?
The following versions of Microsoft Dynamics GP are supported:
- Dynamics GP 10.0
- Dynamics GP 10.0 SP1
- Dynamics GP 10.0 SP2
- Dynamics GP 10.0 SP3
Windows Platforms
Zetadocs Client is supported on both 32-bit and 64-bit versions of the following platforms:
- Windows XP Professional
- Windows Vista (Business and Ultimate)
- Windows Server 2003 R2 (Standard, Enterprise and Datacenter)
- Windows Server 2003 with Terminal Services
- Windows Server 2003 with Citrix Presentation Server
- Windows Server 2008 (Standard, Enterprise and Datacenter)
- Windows Server 2008 with Terminal Services.
Zetadocs SharePoint Extensions are supported on the following:
- Windows SharePoint Server 2007 (MOSS)
- Windows SharePoint Services v3 (WSS)

How long does it take to install Zetadocs for GP?
A standard install of should be completed in a single day. Additional days may be required if customer-specific and SDK customizations are required.

What happens if I want to upgrade?
Upgrades to future versions will be available immediately following the public announcement of each. These will be free of charge, but will only be
available for:
- Existing users who have a current Software Assurance contract.
- NFR (Not for Resale) systems.
What kind of support will I get?
Equisys provides email and telephone support. From time to time, Equisys may make available Service Pack releases of the current version of Zetadocs for
GP. These will include any bug fixes implemented since the preceding version or service pack release, and may also include new features ahead of their
inclusion in the next product version. Service Pack releases will be available for download from the Equisys web site free of charge to customers who have a current Software Assurance contract.
How can I buy Zetadocs for GP?
Zetadocs for GP can only be purchased through an authorized Equisys reseller.
